Using AI to Enhance Your Business Productivity

OpenAI introduced ChatGPT a little over a year ago, attracting over 100 million users globally. Many experts argue that businesses not leveraging artificial intelligence to enhance their effectiveness and productivity—while reducing or maintaining current full-time equivalents (FTE)—will be at a significant disadvantage compared to those that adopt this technology.

As President of a recruiting firm, we have experienced firsthand the benefits of using AI to boost productivity and perform tasks more quickly and efficiently. I am sure many of you are doing the same. However, it's time for those who still need to start considering automating manual tasks to maintain their competitive edge. Senior management should know the areas where AI can significantly impact your business.

There's a wealth of social media content on how AI can be utilized within a company. Like many of you, I am fascinated by this innovative technology and spend considerable time watching videos to stay abreast of all the advances. I think appointing someone in your company to spearhead this initiative would be a good idea. Even if they are not programmers, they can identify which projects should be automated using AI and coordinate the resources needed to accomplish these tasks.

At Connexis Search Group, we recently developed a data chatbot that enables our employees and new recruiters to access our knowledge base easily. Previously, this knowledge was scattered across various platforms in documents and videos, making it difficult to access. With our proprietary data-powered chatbot, employees can type in a question, and the chatbot reviews all our documents to provide the answer and the source documentation.

Significant Impacts in the Marketing Department

With a paid account from OpenAI, you can upload documents or white papers, allowing AI to review them and quickly generate summaries for marketing content. This task, which would take hours for someone in your marketing department, can be completed by AI in minutes. AI can also create competitive matrices comparing your products with competitors' and format this information in easy-to-understand tables.

At Connexis Search Group, we also utilize OpenAI in our marketing department to help create content, email sequences for lead follow-up, and Google-paid ads to discover keywords.

Other Departments that Can Benefit from AI:

  • Training New Employees: E-learning has become more accessible, presenting a viable option for small companies with limited budgets and time for training new employees. We are exploring options, including a platform that costs only $3,300 per year. This platform will host all our training materials, allowing employees to learn independently and enabling us to certify their successful knowledge acquisition.

 

  • Quality Assurance (QA): AI can significantly streamline the QA process for companies manufacturing FDA-approved instruments by automating quality control data analysis. Using machine learning algorithms, AI can identify patterns or anomalies in manufacturing data that might indicate quality issues, predict potential failures before they occur, and ensure products meet FDA standards. Furthermore, AI can manage and analyze the extensive documentation required for FDA approval, making the process faster and more efficient by automatically ensuring compliance with regulatory requirements.

 

  • Regulatory Affairs (RA): Companies can leverage AI in regulatory departments to enhance compliance and efficiency. AI technologies can automate the monitoring and analysis of regulatory requirements, ensuring that companies stay updated with changing laws and standards. Moreover, AI can streamline document management, automatically classifying and storing regulatory documents for easy access and review. It can also predict potential compliance risks by analyzing past data, enabling proactive measures. Additionally, AI-driven natural language processing can assist in interpreting complex regulatory texts, simplifying compliance processes.

 

While many other departments could benefit from AI to improve productivity, I will not list them all in this article. In the future, I foresee a need for a Director of AI or a consultant to review all opportunities for implementing AI and then contract with vendors or use apps to achieve these goals.
